Relocation Project Coordinator

The French School of Copenhagen (Prins Henriks Skole/Lycée Francais Prins Henrik) is relocating to brand new facilities in Frederiksberg. The new buildings located on Rolighedsvej will bring about modern and state-of-the-art facilities that will complement the academic and educational services offered by the school. The relocation is planned for Autumn 2023 and for that purpose, we are looking for a project coordinator to manage in the relocation of the school and its assets. 

 What this job involves

The Relocation Project Coordinator will be responsible for the success of the relocation, its assets, a smooth transition period as well as transparency and reconciliation of costs associated with all move-related activities. This position entails working closely with the school management team to plan and coordinate all activities related to the move, collaborate regularly with School’s Foundation for planning and readiness of the new facilities, and attend relevant meetings relating to the new School Project.  

  • Coordinate/Manage Relocation Project 
    • Establish and maintain close collaboration with the Head of Construction for the new facilities (provider of the new facilities).  
    • Build and manage action/activities plan that will lead to moving in Autumn 2023. 
    • Prepare relevant documentation and drive decisions in close coordination with the school’s management and user groups. 
    • Provide council to the school’s Board of Directors on matter of the relocation project. 
    • Ascertain knowledge of the new leasing agreement. 
    • Establish solid understanding of needs of the school’s different departments. 
    • Prepare and maintain a detailed planning for execution of the move and for activities that will follow in collaboration with School’s Management and Janitor service. 
    • Monitor relocation project costs. 
    • Be the primary contact for suppliers related to the relocation (incl. action lists and timelines). 
       
  • Move Activities 
    • Schedule and run pre-move meetings, and provide timelines, costs and schedules. 
    • Run the RFP for the move activities. 
    • Schedule all relevant move activities (moving, security, asset purchases, furniture scrapping, IT installations, recycle, etc.). 
    • Execute relocation with relevant stakeholders. 
    • Review completed move and make adjustments with vendor(s). 
  • Post Move Follow Up 
    • Provide communication with information on new location and services. 
    • Coordinate adjustments and finalization of the new School site. 
    • Prepare and execute refurbishing/clean-up activities for the old school site(s). 
    • Ensure scrap pick-up, recycle or re-use of assets, furniture and other items. 

Sound like you? To apply, you should have: 

  •  At least 5 years of experience in project management, preferably within relocation or moving projects. 
  •  Excellent written and verbal skills in English and Danish as a must. French is optional. 
  •  Very structured and professional working approach, with a capacity for negotiation. 
  •  Strong relational and organizational skills. 
  •  Source of proposals and solution-oriented mindset. 

Conditions :

  • Fixed Term contract : until dec 2023. (with a start as soon as possible)
  • 18 hours/week (reassessment of the work time needed in May 2023)
